Amazon Work Docs says “50 GB of 50 GB Used” using small size file.

I have always used Amazon Work Docs. This morning I experienced a strange phenomenon.

I am using the 50GB of storage that is granted to me for free when I build Amazon WorkSpaces. In the Work Docs folder I placed a small file, about 3MB. When I tried to upload another file, I got a message saying that Work docs capacity reached it's limits. The web administration page showed that the storage “50 GB of 50 GB Used” was written, which meant that the storage space was used up.

So, after saving the contents of the folder to another location outside of Amazon WorkSpaces, I deleted the entire contents of the folder, After deleting the entire contents of the folder, I uploaded the same file one more time, The file was successfully uploaded. The web administration screen also returned to its original display.

Why did it show that the storage was full? If anyone knows the cause, please let me know.

A similar problem occurred in October of last year.

Potential Causes

1. Temporary Glitch or Delay in Syncing:

  • Sometimes, there might be a temporary glitch or delay in syncing the storage usage data. This can cause the system to incorrectly report that the storage is full.

2. Hidden or Orphaned Files:

  • There may be hidden files or orphaned files that are not visible to you but still count towards your storage quota. These files might not get deleted properly when you remove files from the WorkDocs folder.

3. Trash Bin or Recycle Bin:

  • When you delete files from Amazon WorkDocs, they might be moved to a trash or recycle bin rather than being permanently deleted. These files still count towards your storage limit until they are permanently deleted.

4. File Versioning:

  • Amazon WorkDocs keeps versions of files by default. If you upload a file multiple times, each version of the file may be counted towards your storage limit.

Solutions and Best Practices

1. Check for Hidden or Orphaned Files:

  • Ensure that there are no hidden or orphaned files in your storage. You may need to check the WorkDocs web interface for any files that might not be visible in your local sync folder.

2. Empty Trash or Recycle Bin:

  • Check if WorkDocs has a trash or recycle bin feature and make sure to empty it. Deleted files might still be occupying storage space until they are permanently removed.
  • You can find this option in the WorkDocs web interface under the "Deleted Files" or similar section.

3. Permanently Delete Files:

  • Make sure you are permanently deleting files rather than just moving them to a trash folder. This ensures that the storage space is actually freed up.

4. File Version Management:

  • Manage file versions by setting a limit on the number of versions WorkDocs keeps. This can be configured in the WorkDocs settings. Regularly clean up old versions of files to free up storage space.
