WorkMail emails not received in Outlook (Windows desktop), other clients successful

1

My organization has a number of users set up in WorkMail. Each of them are able to send email successfully, but receiving email does not work if the user is using Outlook on Windows desktop. The emails show up correctly in the web platform, or if they access their inbox via Outlook on their mobile device, or if the user is on Thunderbird on Windows desktop. Only Outlook for Windows desktop is not receiving email.

Based on the information provided, you're experiencing an issue where emails are not appearing in Outlook on Windows desktop, despite being visible in other clients like the WorkMail web client, mobile Outlook, and Thunderbird.

This could be related to a few potential issues:

    1. Outlook configuration: If you're using the Exchange protocol in Outlook, there might be folder synchronization issues. Some users have reported that when connecting via Exchange, only the Inbox and Junk folders appear, while other folders and emails may not be visible.

    2. Authentication method: The version of Outlook you're using might be relevant. The newer "Outlook 365" client (which is different from the traditional Outlook desktop application) has limitations with AWS WorkMail as it doesn't support legacy Exchange protocols. This newer client only supports connecting to WorkMail via IMAP/SMTP, which provides limited functionality.

    3. Connection type: If you're using Exchange connection type and experiencing issues, you might want to try reconfiguring with IMAP instead. While IMAP won't provide calendaring functionality, it might resolve the email visibility issue.

    To troubleshoot:
    - Verify which version of Outlook you're using (traditional Office 365 Outlook or the new Outlook 365 client)
    - Try reconfiguring the account in Outlook using IMAP instead of Exchange to see if emails appear
    - Check if there are any folder synchronization settings in Outlook that might be limiting which folders are being displayed
    - Ensure your MX records are correctly configured to point only to WorkMail

If you're using the newer Outlook 365 client (the replacement for the Mail app in Windows), be aware that it has limited compatibility with WorkMail and may only work with IMAP/SMTP, not the full Exchange functionality.

  1. We are all using the IMAP settings in Outlook, not Exchange.
  2. This is the application version data: Microsoft Outlook Version: 1.2025.506.300 (Production) Client Version: 20250516009.09 WebView2 Version: 136.0.3240.76 Session ID: a66b2677-4b2c-4d6d-a375-6a51eb8b810a

Troubleshooting:

  1. We aren't using Exchange, so it sounds like that shouldn't matter
  2. See above
  3. There are no issues seen here
  4. MX records have been verified.
