I see that workdocs pricing is based on users, (i'm using AWS managed MS AD), my question is will I still get charged for inactive users (I only want to few of the users active in workdocs)? Also, will I get charged for once active users who are now inactive. Cos i'm thinking some will have document on their workdocs before going inactive.

Hi there, sorry for the delayed response. I've been doing some research internally and got the following:

This is the grey area "Changing a user to Inactive status does not delete their files, folders, or feedback from your Amazon WorkDocs site. However, you can transfer an inactive user's files and folders to an active user" And what I'm asking is if I change a user to inactive, but they already have 500gb of files, and I did not transfer their file to an active user. How will I be billed for that 500gb storage? is is per user as if the user is still active? or there is a special way AWS billed that? ANSWER: The current behavior would allow for a user to be deactivated without incurring any additional storage costs however we cannot guarantee that files will still be available after the user is reactivated.

What this means is that you may deactivate the user, billing will stop, documents are not deleted immediately (and you are not charged for them), but they can be deleted during the following 90 days (they may or may not exist if you activate the user before 90 days). After 90 days you can't activate the user again and can't recover the files for sure.

Per the Workdocs FAQ:

You will be charged for the following types of Amazon WorkDocs usage:

  • Number of user accounts per month: the number of users billed in a month is based on the average numbers of active user accounts throughout the month. For every active user your business will be charged a monthly subscription fee. If a user account is deactivated or activated during the month, the monthly subscription fee for that account will be prorated based on the number of active days.
  • Additional storage: your business receives 1 TB of storage capacity for each active user account. Administrators can allocate this storage across users by setting individual storage limits in the WorkDocs administrator dashboard. Your business will be charged once a user’s amount of storage utilized exceeds 1 TB for that user’s account. Additional storage is charged on a pay-as-you-go basis.

If you deactivate a user, per the documentation:

Changing a user to Inactive status does not delete their files, folders, or feedback from your Amazon WorkDocs site. However, you can transfer an inactive user's files and folders to an active user. For more information, see Transferring document ownership.
